Businesses need to be on the alert.<\/p>\n\n\n\n<p>Few business owners, employees, or even webmasters are aware of the expansive indexing ability of search bots used by the top search engines. It is easy to find companies that have saved private lead data, internal documents, and customers\u2019 personal data to the web if you know how to use search modifiers.<\/p>\n\n\n<p><!--more--><\/p>\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright size-medium\"><img loading=\"lazy\" decoding=\"async\" width=\"300\" height=\"285\" src=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-searchbot-indexing-300x285.jpg\" alt=\"search bots indexing abilities\" class=\"wp-image-1727\" data-size=\"717x682\" srcset=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-searchbot-indexing-300x285.jpg 300w, https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-searchbot-indexing.jpg 717w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/> <\/figure><\/div>\n\n\n\n<p>For example, if you\ntype the following into Google Search:&nbsp; <a href=\"https:\/\/www.google.com\/search?ei=m9_CXvilGa6kytMP3MuNqAw&amp;q=%2Battendees+%2Bemail+ext%3Axlsx&amp;oq=%2Battendees+%2Bemail+ext%3Axlsx&amp;gs_lcp=CgZwc3ktYWIQA1CILVjQPGDgPmgAcAB4AIABS4gBsQaSAQIxNJgBAKABAaoBB2d3cy13aXo&amp;sclient=psy-ab&amp;ved=0ahUKEwi43-TDkL7pAhUuknIEHdxlA8UQ4dUDCAw&amp;uact=5\"><em>+attendees\n+email ext:xlsx<\/em><\/a>, you\u2019re likely to find a ton of private lead data for a\nwide variety of industry expos and corporate meetings. How did that get there?\nWell, most of the time, someone was in a rush and uploaded their lead tracking\ndata to the media or document folder of their website and simply forgot about\nit. This can also happen when your connected web application used for inputting\nthis information is not saving your files to a non-indexed subfolder of your\nwebsite.<\/p>\n\n\n\n<p>It gets scarier. There are searches that allow anyone to find and access IoT devices like smart home cameras, or expose password lists saved to private Trello boards, as well as full backups of email inboxes or company Quickbooks backup files. Any savvy internet user could utilize this information as a foothold and systematically take over a business\u2019s critical services, steal identities, or compromise customer data.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"585\" height=\"201\" src=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-blog-example2.png\" alt=\"internet of things devices and security threat\" class=\"wp-image-1729\" data-size=\"585x201\" srcset=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-blog-example2.png 585w, https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-blog-example2-300x103.png 300w\" sizes=\"auto, (max-width: 585px) 100vw, 585px\" \/> <\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">See What Data You are Showing<\/h2>\n\n\n\n<p>Using simple search modifiers, you can check to see what\ndocuments Google is indexing on your website<\/p>\n\n\n\n<p>On the Google home page, enter this: <em>site:yourdomain.com. <\/em>You\u2019re likely to come across the top pages for your specific site, but by adding an additional modifier like ext:pdf you will now see all of the PDF documents Google is indexing for your site. This works for an ever-expanding amount of file types like CSV, XLSX, DOCX, Txt, Zip. <\/p>\n\n\n\n<p>Doing a search like <em>site:yourdomain.com ext: (<\/em>leaving\nthe extension modifier blank) will often return a list of non-web file types.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">If You Find Data Online that You Don&#8217;t Want Online, What Should You Do?<\/h2>\n\n\n\n<p>So, let\u2019s say you have found a customer list with email and\ncontact information open and indexable on your website, and you want to remove\nit from the search results. The steps you should take are as follow.<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Locate the file on your webserver<\/li><li>Modify the file by changing or removing the data. Note: <strong>Do not simply delete the file<\/strong><\/li><li>Once you have changed or removed the offending data, go into your Webmaster Console settings for either Google: <a href=\"https:\/\/search.google.com\/search-console\/about\">https:\/\/search.google.com\/search-console<\/a> or Bing: <a href=\"https:\/\/www.bing.com\/webmasters\/about\" target=\"_blank\" rel=\"noreferrer noopener\">https:\/\/www.bing.com\/toolbox\/webmaster<\/a> and select <a href=\"https:\/\/developers.google.com\/search\/docs\/advanced\/crawling\/ask-google-to-recrawl?hl=en&amp;visit_id=637728566716373765-1670436410&amp;rd=1\" target=\"_blank\" rel=\"noreferrer noopener\">fetch and render<\/a> <\/li><\/ul>\n\n\n\n<p>You may be wondering why you couldn\u2019t simply delete the file\nand be done with it. Google has a handy feature called Google Cache that stores\ncached versions of various pages and files, like how archive.org\u2019s Wayback Machine\ndoes. To illustrate this, I did a simple search <em>+confidential ext:pdf.<\/em><\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright size-medium\"><img loading=\"lazy\" decoding=\"async\" width=\"300\" height=\"234\" src=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-example-3-300x234.png\" alt=\"deleting files doesn't eliminate access\" class=\"wp-image-1730\" data-size=\"625x488\" srcset=\"https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-example-3-300x234.png 300w, https:\/\/www.sharpinnovations.com\/blog\/wp-content\/uploads\/2020\/05\/Sharp-Blog-example-3.png 625w\" sizes=\"auto, (max-width: 300px) 100vw, 300px\" \/> <\/figure><\/div>\n\n\n\n<p>For the sake of demonstrating, let\u2019s pretend the Pacourts.us website realized that file 6574 (pictured here) is hanging out in the open and decides to delete it. The link may not work when you click on it directly from search but if you just click on the little gray arrow next to the URL, you\u2019ll be able to access the cached version of that data and simply copy it. Conversely, if you update the file, you are forcing Google to recache the document. Once that is done, you are clear to delete the file without the risk of someone finding your data.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Protect Your Data Continuity Checklist<\/h2>\n\n\n\n<p>In addition to regularly changing your passwords, set a\nreminder to do data searches like the ones listed above against your company\nwebsites, and personal websites, often. Remind your team to do the same. We\nrecommend you hire an outside security consultant or web development team to\ntest your corporate systems for vulnerabilities. Keep in mind, the biggest tool\nused by hackers are \u201csoft skills\u201d and not computer skills. This means that with\nonly small amounts of disparate data and a phone call, most hackers can gain\naccess to your sensitive data. <\/p>\n\n\n\n<p>Teach your employees to be mindful before giving out any\ninformation. Implementing a regularly scheduled, company-wide password update\nplan is key to keeping your data safe!<\/p>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe loading=\"lazy\" title=\"This is how hackers hack you using simple social engineering\" width=\"500\" height=\"281\" src=\"https:\/\/www.youtube.com\/embed\/lc7scxvKQOo?feature=oembed\" frameborder=\"0\" allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe>\n<\/div><\/figure>\n\n\n\n<p><strong>Bonus Tip:<\/strong> If you\u2019re having trouble creating a strong\npassword, try adding your childhood phone number to the beginning or end of the\nshorter password you might normally use. Better yet, learn a rhyming phrase and\nreplace a few letters with numbers.
